Booking your tour

By making a booking with us you are deemed to have accepted the Ikou Japan terms and conditions of travel. Your booking is not confirmed until we have received a non-refundable deposit of $300 per person.  The balance of any booking is due 60 days before the tour commences. Bookings made within 60 days of departure require full payment to confirm the booking.

 

Prices

All prices are quoted and payable in Australian Dollars.

 

Itinerary change

Ikou Tours reserves the right to change the itinerary due to inclement weather or for any other reason that may affect the group, such as a venue or site being unexpectedly closed.  The itinerary change would be for the betterment of the enjoyment of the tour and not made without full consultation with the group.

 

Ikou Tours may also change a tour if we consider traveller security or safety could be compromised.

 

Cancellation

By the client

Cancellations must be made in writing. If you cancel 61 days or more before the scheduled travel date you will be entitled full refund all money paid to Ikou Travel (less the non-refundable deposit). If you cancel 31-60 days before travel you will be entitled to any amount you have paid above 50% of the full price less your deposit. Cancellations less than 31 days from departure will not be entitled to any refund. Non-payment of the balance 60 days from departure may at our sole discretion be treated as a cancellation.  (Please ask about a re-booking to travel within 12 months).

 

By Ikou Travel

Ikou Travel may cancel at any time up to 31 days before the scheduled departure. We may cancel at any time if we consider the risks of health, political, safety or disruption is outside our acceptable limits. In the event that a tour is cancelled by us we will offer an alternative tour or alternative date or a full refund. Where a cancellation is due to external events outside our reasonable control, refunds may exclude an amount to cover our unrecoverable costs. We are never responsible for any incidental expenses that you may have incurred as part of booking the tour.

 

Inclusions & exclusions

Our tours prices include all accommodation, land transport, all breakfasts and three other meals, entry fees and tour guides as detailed in our tour plans and itineraries.

 

Our tour price excludes all items not listed as included in our tour notes, such as air travel, travel insurance, personal expenses, and meals other than the above.

 

Personal information

In order for us to complete booking arrangements, we will require personal details including but not limited to full name as per passport, passport number, passport expiry date, date of birth and nationality. You must advise us of any pre-existing medical conditions you have which may affect your ability to complete your travel arrangements. If you are over 69 we may ask you to complete a self-assessment form before we can accept your booking.

 

Age limits

Our small group tours are structured with an expectation of people over 18. Although we have no upper limit, people over 69 may need to complete a self-assessment. We anticipate a reasonable level of fitness to cover the undulating terrain and stairs.

 

Personal documents, permits and vouchers

You must carry a valid passport (with at least 6 months left to run beyond the end of your tour). If you are an Australian citizen you receive a 3 month visa on arrival.  However, if you are travelling on a passport from another country you are responsible for ensuring you have the correct visas and travel papers.

 

Once in Japan you will receive your Japan Rail Pass.  This pass cannot be replaced if you misplace it.  Should this happen, you will be responsible for all costs related to travel while on the tour.

 

All your accommodation will be booked in your name. You will not need accommodation vouchers, however, you will be required to offer your passport upon check-in for the hotel to make a copy for file.

 

Travel insurance and your responsibility

Travel insurance is compulsory to travel with Ikou Tours. It is not included in the price and we will ask you for proof of insurance before you travel with us.

 

We recommend you seek comprehensive insurance that also covers you for cancellation or curtailment as well as personal liability. In the unlikely event that your holiday is affected by any circumstance outside our control, we expect you to have arranged sufficient insurance to ensure you are not out of pocket.

 

We recommend that you secure travel insurance as soon as you have confirmation of your booking. This will protect you against any unforeseen circumstances.

 

Acceptance of risk

By booking a tour with Ikou Travel  you accept that travel includes a risk component. In the event of any circumstances beyond our reasonable control including, but not limited to, government restraint, severe weather, flooding, fire, earthquake, or other natural phenomenon, it may be (at the sole discretion of Ikou Travel) necessary to modify or cancel an itinerary and Ikou Travel is not responsible for any loss or expenses incurred.  Ikou Travel will endeavour to arrange for the provision of comparable services wherever possible but any additional expense incurred is payable by the travellers.

 

Jurisdiction

The booking conditions set out here are governed by the laws of Queensland Australia. Any disputes in connection with a tour or these booking conditions must be initiated in the courts of Queensland, Australia.
